What is SaaS revenue reporting software?
SaaS revenue reporting software shows how much revenue a subscription business has billed, recognized, deferred and left unbilled, and ties each number back to a contract. TrueRev is SaaS revenue reporting software for B2B SaaS finance teams that use QuickBooks Online.
| Term | What it means |
|---|---|
| Billed | What you have invoiced the customer |
| Recognized | What you have earned under your revenue policy |
| Deferred | What the customer has been invoiced for but you have not yet earned |
| Unbilled | What you have earned but not yet invoiced |
To go deeper on the last two, read unbilled revenue vs deferred revenue.
Revenue reporting, SaaS metrics and cash reporting answer different questions
| Report type | The question it answers | Where to look |
|---|---|---|
| Revenue reporting | What have we billed, earned and deferred, by contract? | This page |
| SaaS metrics | How is recurring revenue moving: ARR, MRR, expansion and churn? | SaaS metrics dashboard |
| Cash reporting | What is coming in and going out? | Cashflow reporting |
The revenue reports TrueRev gives finance
| Report | What it shows | Who uses it |
|---|---|---|
| Revenue schedule report | Recognized, deferred and unbilled totals by contract | Controllers at month-end and reviewers during an audit |
| Contract-level schedule | Billed, deferred and recognized revenue over time for each contract | Finance teams deciding what to accrue |
| Deferred revenue view | Deferred revenue by customer, product or contract | Finance leaders and investors |
| Journal entries | Revenue entries prepared for QuickBooks Online, ready for review | Accountants closing the books |
| Subscription metrics | ARR, MRR, bookings, churn and retention from the same contracts | CFOs and boards (see the metrics dashboard) |
Reports are customizable, and shared reports are included in the plan.
From two contracts to one month-end report
Here is what the revenue schedule report shows at the end of March for two contracts that both started on 1 January and are recognized evenly over 12 months.
| Contract | Billed | Recognized | Deferred | Unbilled |
|---|---|---|---|---|
| Contract A: $24,000, invoiced up front | $24,000 | $6,000 | $18,000 | $0 |
| Contract B: $12,000, first invoice not yet sent | $0 | $3,000 | $0 | $3,000 |
| Total | $24,000 | $9,000 | $18,000 | $3,000 |
Contract A shows why deferred revenue exists: the customer has paid for the year, and only three months have been earned. Contract B shows unbilled revenue: three months have been earned, but the invoice has not gone out. Journal entries for the month are prepared for QuickBooks Online.
Illustrative example, not customer data. Which recognition method applies, and how each amount is treated, is a decision for you and your accountant.

Five questions to ask any revenue reporting tool
Which reports do you get out of the box?
Ask for the list. TrueRev provides a revenue schedule report with recognized, deferred and unbilled totals by contract, contract-level schedules, deferred revenue views, journal entries and subscription metrics. If you need a specific layout such as a roll-forward or a waterfall, bring it to the demo.
Do the reports come from contracts or only from invoices?
Invoice-only reports miss unbilled revenue and contract changes. TrueRev builds schedules from contracts.
Do the reports tie to your journal entries and ledger?
TrueRev prepares journal entries for QuickBooks Online and does not replace QuickBooks.
What happens when a contract changes?
In TrueRev, upgrades, cancellations and expansions are contract events, and the schedule changes with them.
What does it cost, and how long does setup take?
Plans are published on the pricing page, and a 14-day free trial is available. Connecting QuickBooks Online takes minutes. Loading contracts depends on how many you have.
Who TrueRev fits, and who should look elsewhere
TrueRev fits when: you are a B2B SaaS company on QuickBooks Online; revenue schedules and deferred revenue live in spreadsheets; you need to show billed, recognized, deferred and unbilled revenue by contract; auditors, investors or your board ask for support behind the numbers.
Look at other options when: you need multi-entity consolidation or enterprise ERP reporting; most of your revenue is metered usage; you need forecasting, FP&A planning or general business intelligence.

SaaS revenue reporting questions
What is the difference between revenue reporting and a SaaS metrics dashboard?
Revenue reporting shows what you have billed, recognized, deferred and left unbilled by contract. A SaaS metrics dashboard shows how recurring revenue is moving, such as ARR, MRR, expansion and churn. TrueRev builds both from the same contracts. See the SaaS metrics dashboard.
What is unbilled revenue, and where do I see it?
Unbilled revenue is revenue you have earned but not yet invoiced. In TrueRev, the revenue schedule report shows recognized, deferred and unbilled totals for each contract. For the full explanation, read unbilled revenue vs deferred revenue.
Can TrueRev prepare journal entries for QuickBooks Online?
Yes. Revenue journal entries are prepared for your QuickBooks Online books and ready for review. Your accountant decides how each amount is treated.
Will the reports match what my accountant books?
The reports and journal entries come from the same contract schedules, and your accountant reviews the entries and decides the treatment. If your accountant uses a different policy for a contract, bring that contract to the demo and we will show how it would be set up.
Can my accountant or auditor review the reports?
TrueRev builds revenue and deferred revenue schedules by contract, and the revenue schedule report shows recognized, deferred and unbilled totals for each, which gives reviewers a contract-level view. How revenue is treated depends on your policy and your auditors.
How long does setup take, and what does it cost?
Connecting QuickBooks Online takes minutes, and loading contracts depends on how many you have. A 14-day free trial is available, and current plans are on the pricing page.
